Position summary
The Marketing and Events Coordinator interacts with alumni and all stakeholders in a positive manner. Executes communication plans via all communication channels to our global constituents; also acts as the frontline representative for the Office of Alumni Services, interacting with all customers in a positive manner. In collaboration with the Director, serves as a liaison between the Alumni Office and both campus entities and outside vendors in planning university events and 20-30 regional events annually, while operating with a certain degree of independence, judgment, consistency, discretion, and fiscal responsibility.

Duties and responsibilities
- Responds to requests from academic departments and university organizations for alumni-related communications such as email campaigns, events, etc.
- Assists with production of quarterly alumni e-newsletters. web content, and social media posts.
- Manages queries from alumni constituents (phone, email, online) in a timely and courteous manner.
- Manages and facilitates vendor relationships in certain areas as assigned by the director.
- Assists with planning and implementing Alumni Homecoming each year. May serve as project manager for certain events as assigned by director.
- Assists with planning and executing 20–50 regional and on-campus events each year in addition to Homecoming, which includes promotional communication and post-event surveys through email, print and other mediums.
- Serve on the Alumni Association Board of Directors, assisting the director with organizing monthly meetings and taking meeting minutes.
Supervisory responsibilities
- May serve in a supervisory capacity to 2-4 student workers as assigned by director; provides training in day-to-day operations and customer service expectations.
Qualifications
Any combination of education and experience that provides the required knowledge, skills and abilities to perform the essential functions of the position is acceptable. However, bachelor’s degree from an accredited institution is required, ¶·Å£ÆåÅÆ University granted degree is preferred.
EXPERIENCE
Three or more years of significant experience with various forms of electronic communications. Two years of related work experience in special events coordination, information systems, public relations, marketing, or higher education environment is preferred.
Technical competencies
- Work with online tools and web-based software to ensure data consistency and accuracy, overseeing daily office data entry processes, and interacting with the IT administrators and managers as needed.
- Able to generate and maintain multi-sheet spreadsheets.

Interpersonal interactions
The ability to effectively and clearly communicate via a variety of communication channels including email, phone, and in person is required. Clear and concise writing skills and grammar skills are also necessary. Ability to clearly communicate, solve and diffuse tension as well as deal with various sensitive situations. English language proficiency is required.

Conflict resolution and maturity in dealing with the public is critical. this position involves negotiating with vendors and internal customers, active listening, evaluating information sources, gathering and synthesizing information, organizing tasks, and critical thinking skills.
Physical demands
The ability to function within a campus environment, and to perform hands-on tasks during events such as lifting tables, chairs and other equipment. Also important are good vision and hearing so that appropriate assessments can be made.

This position entails primarily office tasks and environment. Occasional ev
assignments representing the Department at Alumni and/or university-related gatherings/functions as needed.
Occasional evening and weekend work commitment involving campus events.
